There are several things which happen automatically when a client books an Initial Exploratory Session on Helpspace.

  • A booking confirmation email is sent to both the client and the therapist. This email includes:
  • Session details (date, time, session type, etc.),
  • A unique video meeting link to attend the session
  • Contact details of the other party.

A reminder email or text is also sent before the session.

What do I need to do as a therapist when a client books an Initial Exploratory Session with me?

Shortly before the session start time, you should:

  • Log in to your Helpspace account.
  • Locate the relevant Initial Exploratory Session event in your Helpspace calendar.
  • Click the event to show the session details.
  • Click the Open Video Meeting link.
  • Enter your name, and click 'Join'.
  • If prompted, give the video meeting app permission to use your webcam and microphone for the video call.
  • Wait for your client to enter the meeting room (if not already there), and conduct the therapy session.

Towards the end of the session, you should:

  • Schedule a Follow-Up Appointment in consultation with your client. To do this:
  • Switch back to the browser tab that contains your Helpspace calendar.
  • Click the desired date and time on the calendar, and select Add Follow-Up Appointment.
  • Fill out the relevant details, and click Save.

Back in the video meeting tab, you should:

  • End the meeting for all participants by clicking the red button, and selecting 'End meeting for all'.
